Accounting Clerk/Senior Accounting Clerk
Description
Class specifications are intended to present a descriptive list of the range of duties performed by employees in the class. Specifications are not intended to reflect all duties performed within the job.
The Accounting Clerk is the first level of a five-level accounting series. Incumbents are responsible for performing a variety of routine accounting support activities. The Accounting Clerk is distinguished from other classifications by its responsibility for processing a variety of financial paperwork for an assigned area within the accounting division.
The Senior Accounting Clerk is the second level of a five-level accounting series. Incumbents are responsible for performing a variety of accounting support activities. The Senior Accounting Clerk is distinguished from the Accounting Clerk due to the additional responsibilities of serving as “back-up” to the Payroll Accountant and is distinguished from other classifications by its responsibility for processing a variety of financial paperwork for an assigned area within the accounting division.
Examples of Duties
The following essential job functions are typical for this classification. Incumbents may not perform all of the listed job functions and/or may be required to perform additional or different job functions from those set forth below to address business needs and changing business practices. - Prepares, prints, edits, and updates a variety of reports.
- Creates and maintains a variety of spreadsheets containing a large volume of financial data, which includes vendor histories, account numbers, payment amounts, and other related information.
- Prepares invoices for payment to various vendors.
- Processes invoices by inputting information into the District’s accounting systems and checking information for accuracy and completeness.
- Analyzes and verifies processed data; corrects erroneous data.
- Produces checks for vendors; distributes checks.
- Maintains well-organized files of accounting transaction documents.
- Handles job stress.
- Interacts effectively with others in the workplace.
- Follows all workplace and job safety rules and policies.
- Performs other duties of a similar nature or level as required.
In addition, the Senior Accounting Clerk serves as a back-up to the Payroll Accountant, processing payroll checks from specific, documented processes.
Typical Qualifications
The following generally describes the knowledge and ability required to enter the job and/or be learned within a short period of time in order to successfully perform the assigned duties.
Knowledge of:
- Modern office procedures.
- Customer service principles.
- Basic accounting principles.
Ability and Skills in:
- Using computers and related software applications (Microsoft Office).
- Providing customer service.
- Operating a 10-key by touch.
- Filing.
- Comparing and verifying printed information.
- Communication and interpersonal skills as applied to interaction with coworkers, supervisor, the general public, etc. sufficient to exchange or convey information and to receive work direction.
In addition, the Senior Accouting Clerk, analyzes and verifies processed data and corrects erroneous data as well as resolves accounting-related problems with minimal supervision.
EDUCATION AND EXPERIENCE GUIDELINES
Any combination of education and experience that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be:
Education/Training: High School Diploma or General Equivalency Degree.
Experience:
Accounting Clerk: Two years of related accounting support experience and the Senior Accounting Clerk: Four years of related accounting support experience or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.
PHYSICAL DEMANDS AND WORKING ENVIRONMENT

Environment: Standard office setting.
Physical: Positions in this class typically require grasping, talking, hearing, seeing, and repetitive motions. Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met. Incumbents require sufficient physical ability to work in an office setting; stand or sit for prolonged periods of time; operate office equipment, including the use of a computer keyboard; push, pull, lift, and/or carry light amounts of weight; and verbally communicate to exchange information.
Vision: See in the normal visual range with or without correction; vision sufficient to read computer screens and printed documents and to operate assigned equipment.
Hearing: Hear in the normal audio range with or without correction.
DISASTER SERVICE WORKERS
All Orange County Water District employees are designated Disaster Service Workers through state law (California Government Code Section 3100-3109). Employees are required to complete all related training as assigned, and to return to work as ordered in the event of an emergency.
